This guide outlines the migration process from groupware.indacloud.net (SYNC STATION) to INGOS Mail V2, or from other email services like Office 365 to INGOS Mail V2. The process is designed to guide the user through the steps to ensure all emails, contacts, calendars, and other data are successfully transferred.

Prerequisites for Migration from INGOS Mail V1 (groupware.indacloud.net) to INGOS Mail V2
- Open a Support Ticket: The customer must open a support ticket, specifying their customer number and the email addresses of the mailboxes to be migrated.
- MX Record: Due to MX records, it is only possible to migrate all mailboxes from V1 to V2. A mix of V1 and V2 mailboxes is not feasible.
- Timing of Migration: The best time for migration is a weekend, where the TTL (Time To Live) of DNS entries should be considered to prevent email loss.
- Supported Providers: The following providers can be migrated to INGOS Mail V2: SmarterMail, Microsoft Exchange, Outlook.de, Microsoft 365, Google Mail, Yahoo!Mail, Zimbra, Open-Xchange, Kerio Connect, Communigate, IceWarp, Mdaemon, Progress iMail, MailEnable, as well as other POP and IMAP-based services.
Mailboxes and DNS settings must be pre-arranged with INGOS Support and documented in a project.
To use INGOS Mail V2, an administrator account is initially set up for the customer. This account allows the customer to independently manage all additional mailboxes and their settings.
Process:
- Initial Setup by INGOS Support:
- INGOS Support creates the administrator account on the V2 server.
- Once the setup is complete, the customer receives the login credentials for the admin account.
Independent Management by the Customer:
- Using the admin account, the customer can create and configure new mailboxes.
- All features and settings required for managing mailboxes are available to the customer.
If assistance is needed during setup or usage, our support team is always available to help.
INGOS Support is only required for the initial setup. The customer can handle ongoing management and mailbox configuration independently.
If the customer uses INGOS webspace, DNS settings will be changed by INGOS.
For self-managed DNS entries, the customer must adjust the entries for MX, DMARC, SPF, and BIMI themselves.
Examples of other DNS Entries:
- SPF Entry: v=spf1 mx a -all
| Prefix | Type | Value | PrefixDesc | Description |
|---|---|---|---|---|
| v | spf1 | The SPF record version | ||
| + | mx | Pass | Match if IP is one of the MX hosts for given domain name. | |
| + | a | Pass | Match if IP has a DNS 'A' record in given domain. | |
| - | all | Fail | Always matches. It goes at the end of your record. |
- DMARC Entry: v=DMARC1; p=reject;
| Tag | TagValue | Name | Description |
|---|---|---|---|
| v | DMARC1 | Version | Identifies the record retrieved as a DMARC record. It must be the first tag in the list. |
| p | reject | Policy | Policy to apply to email that fails the DMARC test. Valid values can be 'none', 'quarantine', or 'reject'. |
MX Entry: mail.ingos.net.
Import into V2:
- After the first login to INGOS Mail V2, navigate to Settings -> Connectivity -> Mailbox Migration.
- Select Kerio Connect for INGOS Mail V1 or the corresponding provider.
- Choose which items to import (Email, Contacts, Calendar, Tasks, Notes).
- Server Address: groupware.indacloud.net
- Email Address: Username (e.g., username@oningos.com)
- Password: The password for INGOS Mail V1.
- SSL: Selection is mandatory.
- Click Start after selection. A report on the migration will be provided upon completion.
Old emails will not be lost as long as they remain on the old server and have not been downloaded via POP3 or IMAP and then removed from the server for space or cost reasons.
Option "Delete existing SmarterMail mailbox items": This option should not be selected to avoid data loss.
Check the data for completeness before removing data from the old email account.
